Executive Practice Administrator

POSITION: Practice Administrator

DEPARTMENT: Admin/ Practice Management

REPORTS TO: Managing Partner(s)

JOB SUMMARY: This individual is responsible for the successful administration, direction, and coordination of all practice activities, except those directly involving professional medical judgment. 

EDUCATION AND EXPERIENCE:

  1. Extensive managerial experience, preferably within the health care industry.
  2. A minimum of 10 years of work experience, and a college degree. An MBA or Master’s Degree in Accounting is preferred.
  3. Working knowledge of standard accounting principles and budgetary experience.
  4. Working knowledge of computers & EMR systems
  5. Experience in negotiating general business contracts.

ESSENTIAL SKILLS AND ABILITIES:

  1. Quantitative and analytical skills.
  2. Ability to express herself, in writing and orally, with clarity and tact.
  3. Familiarity with taxation, professional corporations, and managed care contracting issues.

RESPONSIBILITIES:

1. Business Planning

  1. Develops a business plan for the practice in conjunction with the Managing Partner. Makes recommendations for implementation, as well as timelines to be included.
  2. Maintains an organization and communication system with the specific objectives of enhanced operating efficiency. 
  3. Works with the management team and In or out of house Marketing teams with the goal of developing a strategic plan that dovetails the practice goals set forth in the business plan.
  4. Works on recruitment and development of a medical and optometric staff consistent with the goals set forth in the business plan.
  5. Serves as primary interface with business consultants (legal, accounting, management consultants) to the practice.

2. Financial Operations

  1. Works with the physician owners and outside accounting/consulting firms in preparation of an annual budget. The budget process is to be initiated at the outset of the fourth fiscal quarter, with completion in the month prior to the beginning of the next fiscal year.
  2. Develops a format for optimally useful weekly and monthly financial and management information reports.
  3. Reviews and analyzes monthly financial statements of the practice and related entities.  Prepares an executive summary, along with the financial statement package, for presentation to the Executive Committee.
  4. Ensures completion of the financial statement package within 30 days of the end of the previous month.
  5. Analyzes the cost/benefit ratio and feasibility thereof of special situations or opportunities for the practice.
  6. Provides direct or indirect approval of all practice expenditures.
  7. Works with outside accounting or consulting firms to develop appropriate internal controls.
  8. Monitors & understands the billing and collection process in order to facilitate a healthy turnover of accounts receivable.

3. Personnel Management

  1. Recruitment, hiring, and dismissal of all personnel.
  2. Supervision, including preparation and monitoring of job descriptions, salary reviews, and personnel evaluations.
  3. Maintenance of employee files and records.
  4. Development of an appropriate management infrastructure in order to improve communication and efficiency.
  5. Organization of regular meetings of the management team and office personnel.
  6. Development of protocols for continuing education of staff.

4. Corporate Overview

  1. Serves as spokesperson, when necessary, for the organization.
  2. Monitors practice fringe benefit programs.
  3. Oversees all insurance coverage, including malpractice, office contents and liability, life, disability, and business overhead (for the physicians), as well as any other practice-related policies.
  4. Attendance at appropriate conferences.
  5. Oversees the computer system((s) of the practice to ensure maximum utilization and increased practice efficiency.
  6. Conducts annual performance reviews of management personnel who report to the position.
  7. Negotiates and develops relationships with managed care plans.
  8. Develops and maintains quality assurance guidelines and the practice’s Compliance Plan, so as to ensure compliance with third-party payers.
  9. Demonstrated excellence in management, leadership and organizational skills.
  10. Demonstrated ability to work cooperatively with others.
  11. Must treat all people with respect, kindness & dignity.
  12. Demonstrated ability to successfully work with physicians and office personnel.
  13. Must be very positive and enjoy working towards difficult goals.
  14. Must have excellent follow-through abilities. 
  15. Must have a track record as a self-starter, capable of taking initiative, working independently, delegating effectively, and achieving beneficial bottom-line results for the organization.

COMPENSATION PACKAGE

  1. Salary Range: As provided
  2. Performance Bonus:  To be determined.
  3. Fringe Benefits:
  1. Vacation/continuing education leave: four weeks/year.
  2. Annual continuing education allowance of $2,000 per year.
  3. Salary continuation in the event of disability: 30 days full salary.
  4. Medical insurance: as per other staff.
  5. Life insurance: as per other staff.

4. Termination Requirements: 30 days of written notice by either party.

5. Exclusive Employment:  Employee agrees to devote her full time and attention to the business affairs of the practice.

6.  Will perform other duties as assigned or requested by the owners of the Eye Center

SPECIFIC PHYSICAL AND EMOTIONAL REQUIREMENTS

  • Must have a valid NYS driver’s license and operate a motor vehicle
  • Must be able to travel out of town, including by air or vehicle, and be able to stay away overnight
  • Must be able to use a keyboard, read and write electronic correspondence
  • Must be able to develop positive interpersonal relationships with physicians, colleagues, and Subordinates

Scribe – Full or Part Time

We are currently looking for an ophthalmic scribe. The scribe works along side the doctors noting his findings in electronic medical records. Scribes also do specialized medical coding and billing for exams and ophthalmic testing. Other aspects of the job include, typing consult letters, escorting patients to check out or testing areas, obtaining signed consent from patients before medical procedures are performed and setting patient recalls and future appointments.

The scribe is an integral part of the team. Often times scribes are promoted to technicians where the skills they learned as a scribe are expanded upon in the technician role. We realize an ophthalmic scribe is a very unique position and we are willing to train the right person on the job.

Scribes ideally have some type of medical background so they understand medical terminology. They also must be able to type and are computer literate.

Ophthalmic Technician ( Full time & Part-time positions) 

Ophthalmic Technicians needed for progressive expanding Ophthalmic team. The successful candidates will be responsible for exceptional patient care and have an outgoing and friendly attitude. Qualifications include – good computer skills, excellent customer service skills, multi-tasking, and the ability to work in a team environment.

The Ophthalmic Technician is an indispensable part of our medical team.  Not only does the Technician take a full medical history on the patient,  they are responsible for all the pre-testing which needs to be performed before the patient sees the doctor.   These pre-tests include checking interocular eye pressure, vision assessment, neutralizing glasses, refractometry, topography, glare testing, and more.  If you have experience performing these tests you are an IDEAL CANDIDATE.  Working on a computer in electronic medical record systems entering test data and patient history is also a large part of the job.  

The ideal candidate will have one or more years of experience working as an ophthalmic technician, Optometric technician, medical scribe, or optician.  While graduates of a medical assisting or Optician program are also desirable, we will consider training the right person if he/she does not meet the preferred experience guidelines.
